Colligo Contributor Version 2.1 Integrates Microsoft Office SharePoint® into the Outlook® Interface

New Version Extends the Value of SharePoint to
All Desktop Users, Online and Offline

Vancouver, BC, May 7, 2007 – Colligo Networks Inc., a leader in desktop collaboration solutions, today announced Version 2.1 of Colligo for SharePoint®, which includes a new Add-in for Microsoft Office Outlook® that enables users to easily store and manage emails, documents, and metadata in SharePoint. Extending the value of its SharePoint client technology beyond offline applications, this milestone release brings together the intuitive usability of desktop applications with the rich collaboration and content management functionality of SharePoint. With Version 2.1, emails, attachments, and message fields can now be synchronized to web-based SharePoint sites by simple drag-and-drop within Outlook.

Industry research shows the majority of content being added to document management systems today still originates from email. And yet, the user experience of moving attachments and emails from Microsoft Outlook to SharePoint can be time consuming and leave valuable metadata behind.

Professionals expect the user-friendly experience of desktop applications - they want the simplicity of drag-and-drop, right click, and other desktop operations. On the other hand, organizations need to capture critical metadata, such as email message fields (including To, From, CC, and Sent Date). They want the ability to share, classify, search, and set retention policies for documents easily. The Colligo Outlook Add-in combines that effortless usability of desktop applications with the rich content management functionality of SharePoint - driving workforce productivity and adoption of email and document management best practices.

The Outlook Add-in enables users to link SharePoint 2007 document libraries to Outlook folders using a convenient "Connect to Outlook" feature. Two-way synchronization ensures users are always looking at the most current SharePoint information within Outlook. Users can:

  • Synchronize SharePoint document libraries to Outlook folders
  • Drag-and-drop emails, attachments, and documents to Outlook Add-in
  • Set-up Outlook rules to automatically add/copy emails to SharePoint
  • Automatically capture standard email metadata
    (including To, From, Subject, and Date)
  • Apply custom metadata immediately in Outlook to one or multiple files
  • Create new documents from site templates (multiple content types)
  • View and sort document library content
  • Chose from online-only or offline caching configurations
  • Move content to SharePoint through the Outlook Web client or mobile devices

Additional new features in Colligo Contributor for SharePoint Version 2.1 support advanced synchronization and new multi-file actions. In addition to background synchronization on startup, exit, and configurable time intervals – Version 2.1 immediately updates content to the SharePoint server when it is added or changed by users (if online). When users access SharePoint folders in Outlook, server changes are immediately downloaded locally for access to the most current data. With Version 2.1, users can also add multiple emails and documents simultaneously to a Colligo for SharePoint document library. Users can set metadata for multiple files at the time by right clicking on a set of files and selecting Edit Properties.

Colligo for SharePoint solutions are the easiest to deploy, learn, and use. Colligo Contributor is a lightweight client-only application (under 5MB) and requires no server modifications. It allows users to synchronize SharePoint sites to their laptops, providing instant access to document libraries, InfoPath forms, custom metadata and views, and both standard and custom lists. With Contributor, business professionals can create and edit documents, forms, list items, emails, and their associated properties regardless of connectivity, synchronizing their changes to the server when online.
